Taking Care of your Copier for Better Efficiency

  • 0

Your office copier is an essential piece of equipment, but you probably don’t give it much thought beyond pressing the right buttons to print your documents. However, like all machinery, copiers are prone to breakdowns and malfunctions, and when the copier is down your business could grind to a halt. Taking care of your copier with these tips can help prolong it’s life and efficiency.

Get the Right Machine and Learn How to Use It

You can’t expect a low-end copier to keep up with a high volume of printing, copying, and scanning. Underutilizing your printer can be a problem as well, and not just for your budget. You should pick a copier that matches your workload requirements, and train all employees how to use it. Taking the time to learn about the various functions, as well as how to change the paper and toner can help you get the most out of your copier.

Treat it Right

Copiers, like other machinery, need some special care. Keep food and drinks away, as a coffee spill could destroy your copier. You should also be careful with sharp objects. Scratches on the copier glass can degrade the quality of your copies. You should also be sure to clean your copier according to manufacturer recommendations. This may include regular dusting of the components and vacuuming of the paper drawer. Copiers should be shut off or put in hibernation when not in use. Also remember to clear the hard drive periodically, and be sure no data remains on the hard drive when it’s time to trade in the copier.

Partner with MPS

A Managed Print Services provider can help make maintaining your copiers easier and more cost efficient. MPS providers can monitor your print fleet looking for problems proactively, allowing repairs to take place before your equipment shuts down. This combined with regular maintenance can help keep your copier humming along with minimal downtime.

For many offices, the copier is an indispensable piece of equipment. By taking care of your copier and partnering with a Managed Print Services provider, you can enjoy a well-functioning copier with minimal downtime for many years to come.

I like that you talk about the importance of the maintenance on copiers. It makes sense that a copier is no different from other machines like cars or sewing machines and they need their preventative maintenance. This can be helpful to keep in mind because careful maintenance and inspections of things like the glass and readers on the new copier could be helpful from the moment we get one to ensure it lasts a long time.

What got my attention the most was how you pointed out that sharp objects can damage the glass of the copier which in turn will affect the quality of the copies. I guess that’s what affected the machine then. I remember a student saying he accidentally running into the copying machine and the edge of the book he’s carrying slammed against the glass. It didn’t show signs of damage but maybe it’s because it’s hidden. We’ll get someone to check on it to see if it can be repaired, then we’ll be sure to be more careful handling it. Thank you.
